Rose Tuition – Online Lesson Policy

1. Purpose & Scope
This policy sets out expectations for safe, effective, and professional online learning delivered by Rose Tuition using Lessonspace and TutorCruncher.
It applies to all:
- Students (KS2 – A Level)
- Parents and carers
- Tutors
and covers both:
- 1:1 online tuition
- Online group tuition sessions
2. Safeguarding & Child Protection
The safety and wellbeing of our students is our highest priority.
Learning Environment
- Students should join lessons from a quiet, shared family space (e.g. kitchen or living room), rather than a bedroom where possible.
- If using a bedroom is unavoidable, the door must remain open and a parent or carer should be nearby.
Parent / Carer Presence
- For all students under the age of 18, a responsible adult must be present within the home during the lesson (not necessarily on camera).
Cameras On
- Cameras should remain on for students and tutors throughout the session, unless there is a specific, agreed accessibility or safeguarding reason.
Professional Boundaries
- All communication must take place via Rose Tuition-approved platforms only, including:
- Lessonspace
- TutorCruncher
- @rosetuition.com email
- Tutors and students must not exchange personal phone numbers or social media details.
Recording
- Students and parents must not record, screenshot, or share any part of a lesson.
- Rose Tuition may, on occasion, record sessions for safeguarding or quality assurance purposes only, with notice given in advance. All recordings are securely stored and deleted in line with our retention policy.

- Any safeguarding concern must be reported immediately to our

3. Online Behaviour & Participation (Students)
To get the most from online sessions, students are expected to:
- Arrive on time (ideally 5 minutes early to check audio/video)
- Be prepared with equipment: pen, paper, calculator, books, and any required resources
- Use their real first name and surname initial on screen
- Take part actively by responding to questions, using the chat and whiteboard tools
- Keep all communication polite, respectful and on-topic
- Avoid any use of:
- Memes, gifs or unrelated links
- Side chats
- Disruptive behaviour
Microphones should be muted when not speaking, and unmuted when answering or asking questions.
4. Tutor Standards (Delivery & Safety)
All Rose Tuition tutors are expected to maintain a high professional standard:
- Quiet, well-lit environment with a neutral background
- Appropriate dress (as for an in-person classroom)
- Structured lesson planning with:
- Clear objectives
- Guided practice
- Exam technique
- Independent tasks
- Use of Lessonspace tools such as:
- Interactive whiteboard
- File share
- Chat and polls
- Accurate attendance and notes recorded in TutorCruncher
- Communication only via approved Rose Tuition channels
If inappropriate behaviour occurs, tutors may:
- End or lock the session immediately
- Report the incident to the Designated Safeguarding Lead
- Notify parents / carers where appropriate
5. Technology & Equipment Requirements
To take part in online lessons, students and tutors must have:
- A laptop, desktop, iPad or Chromebook (phones are not recommended)
- Working camera and microphone
- Stable internet connection (minimum 10 Mbps recommended)
- Latest version of Chrome or Edge installed
- Headphones (strongly recommended to reduce echo)
Lesson links are provided via TutorCruncher and must not be shared with anyone else.
6. Attendance, Cancellations & Lateness
Attendance
- Regular attendance is essential for progress and continuity.
Cancellations
These follow our updated cancellation policy:
- Group online sessions:
Non-cancellable and non-refundable once booked. Your place is reserved each week due to limited availability and a waiting list. - 1:1 online sessions:
A minimum of 7 days’ notice is required for cancellation or rescheduling without charge. - Late cancellations or missed sessions are chargeable in full.
Lateness
- Tutors will remain in the online classroom for 15 minutes after the scheduled start time.
- After this point, the session may be marked as missed and will still be charged in line with our policy.
7. Privacy & Data Protection
Rose Tuition uses:
- TutorCruncher for administration, communication and payments
- Lessonspace for the delivery of online lessons
All data is:
- Processed only for the purposes of education and administration
- Stored securely
- Never sold to third parties
